Approval process 'activate survey' 

Available in the Professional plan.


You can keep track of all surveys your users will activate in easyfeedback, with the release procedure for all the surveys, which should be activated. It allows you to gain control of content and structure for all surveys, to check them before you allow the release.


Setting up a release procedure

The release process is active and can immediately be used. The release procedure contains of two mechanisms:

 
  1. User without right to activate a survey
    When you create a new user or open the rights management for an existing user, you can explicitly specify whether the user will be allowed to activate surveys or has to ask for approval to release.

    Open the your user management and create a new user or click on edit for an existing user. On the right you can choose 'Activate surveys within the user group':

    - Independent
    - Only with approval by a another person (release procedure)

    If the second option is selected, the user will no longer be able to activate a survey alone. Instead of a Activate survey button, there will be a button Request approval for activating. By clicking the button an email notification with the activating request will be sent.

    You will control who is allowed to activate surveys independently, and who is not.
     
  2. Email notification with request to activate
    Whenever a user requests a survey to be activated, an email with all information will be sent to the stored email address. The recipient of the email can review the survey and is given the opportunity to activate this survey.

    Please open the Administration section in the Account data dropdown and select Approval process to specify the receipient's email address. It is possible to deposit one or more email addresses, which will receive the mail with the request for approval. 

    As soon as an e-mail address has been stored and a user asks for approval, the email will be sent to this specified address.
 
Note
A confirmation email will be sent to the user, who has activated the survey. In the Professional plan, each user will automatically be assigned to a new survey when created. This means, the mail will be sent to the user, who is the 'owner' of the survey. Like this, the user who asked for approval, will receive a notification after the survey has been approved.
